Overview

Student clubs play a vital role in fostering a dynamic and engaging campus environment at Mar Thoma College for Women, Perumbavoor. Beyond academics, these clubs provide students with a platform to explore their interests, develop essential skills, and cultivate a vibrant community. The club activities for the academic year 2024-2025 commenced on January 20, 2025, under the initiative of the Principal, Dr. Letha P. Cheriyan. The overall coordination of these activities was managed by the General Convenor, Dr. Vinod V., along with the respective club convenors and assistant coordinators.

RULES FOR SMOOTH CONDUCT AND EVALUATION OF ACTIVITIES

General Guidelines for Smooth Conduct

  • Structured PlanningEach activity should have a detailed plan, including objectives, timeline, budget, and expected outcomes. This will ensure clarity and accountability.
  • Regular MeetingsThe club should conduct bi-weekly meetings with staff coordinators, student leaders, and activity committees to review progress and plan upcoming activities.
  • Activity CalendarPrepare an annual calendar of activities at the beginning of the academic year. Assign responsibilities and set clear deadlines.
  • Role DefinitionDefine specific roles for each committee member and ensure adherence to responsibilities to avoid confusion.
  • InclusivityEncourage participation from students across disciplines and create opportunities for diverse contributions.
  • DocumentationMaintain records of all activities, including minutes of meetings, attendance, photographs, and reports, in both digital and physical formats.
  • Code of ConductAll members must adhere to ethical behaviour during activities. Respect for nature, heritage sites, and community members is paramount.
  • Communication ProtocolAll communications regarding activities (including invitations and reports) should go through the Secretary under the supervision of the Coordinator.

Monitoring and Evaluation Framework

  • Activity Reports: Each activity committee should submit a post-activity report to the Coordinator, detailing objectives, participation, outcomes, challenges faced, and suggestions for improvement.
  • Feedback Mechanism: Collect feedback from participants through surveys or feedback forms. This will help assess the effectiveness and engagement of the activities.
  • Performance Reviews: Conduct quarterly reviews to evaluate the progress of the club’s objectives. Highlight successes and address areas for improvement.
  • Participation MetricsTrack and evaluate student participation in terms of quantity (number of participants) and quality (active involvement, contributions).
  • Outcome Assessment: Measure the impact of activities against the club’s objectives, such as improved awareness, practical skill acquisition, or collaborations achieved.
  • Recognition and Awards: Recognize outstanding contributions through certificates, awards, or mentions during the Annual Nature and Heritage Festival to motivate members.
